Printer Layout Settings for A7 Holder Labels

Every keycard sleeve is a little different. PrintKey lets you place room number, guest name, and breakfast time exactly where they need to sit on your stock, in millimetres, so the same hotel printer keeps a consistent layout across shifts.

Why layout settings matter

Not every keycard holder is the same size or window shape. Text that looks perfect on one sleeve can sit too high, too low, or off-centre on another. PrintKey stores custom printer layout settings per hotel printer, so you can nudge each field until it lands cleanly inside the visible area of your holders.

During onboarding, these settings are prepared for your hotel and printer stock. Most properties do not need to recalibrate afterward. Sometimes a small adjustment is still useful: new holder stock, a different feed path, or a preference for where the name sits. This guide explains how the controls work and what you can change when that happens.

Layout editing is mainly available to managers (or roles with printer-settings access). If you do not see Settings, this guide still helps you understand what can be adjusted and what to ask for when a print looks wrong.

What you can place on the label

PrintKey can print up to three main fields on an A7 holder label:

  • Room number
  • Guest name
  • Breakfast time

Each field has its own position and style controls. You can move them independently so, for example, the room number sits higher in the window while the name stays centred for pickup.

Step 1: Open Settings

  1. Sign in to PrintKey for your hotel.
  2. Open Settings from the button in the bottom-right corner.
  3. A panel opens with layout options for the active printer (hotel and printer name are shown at the top).
  4. Change values, print a short test, then Save settings when the layout is correct.

How X and Y work (millimetres)

All text is drawn from the horizontal centre of the page and then shifted with X and Y. Values are in millimetres (mm).

X: horizontal

X = 0 places the text on the horizontal middle of the sleeve. Positive X moves it to the right; negative X moves it to the left.

  • 0: centred
  • 20: 20 mm to the right
  • -20: 20 mm to the left

Y: vertical

Y is measured from the top of the page downward. Higher Y values move the text further down the holder. Values near zero sit at the very top; values that are too small (or negative) can push text above the visible sleeve window so nothing useful appears on the print.

  • Increase Y to move text down
  • Decrease Y to move text up
  • Adjust one field at a time (room, then name, then breakfast)

Use room number as your first calibration field: get that height right, then space guest name and breakfast relative to it.

Font size, typeface, and bold

For each field you can also set:

  • Font size: useful when long names clip at the edges
  • Font family: Helvetica, Times New Roman, or Courier
  • Bold: on or off per field

If only long names look wrong, reduce font size before you change X/Y geometry again. That usually fixes clipping faster than moving the whole layout.

Default breakfast time

In the same Settings panel you can edit the default breakfast time (for example 07:30-11:00). That value fills the print wizard and can still be changed per generation for a specific group or date.

Calibrate safely

Before calibration, reset assumptions. Use one known label stock, one printer, and one computer. Avoid testing three variables at once.

Recommended test sequence

  1. Print one sample page with room, name, and breakfast visible.
  2. Fix vertical placement first (Y for each field).
  3. Then adjust horizontal placement (X) if the block sits left or right of the window.
  4. Repeat with three different name lengths.
  5. Save settings and re-test the next day before a busy group handover.

Common failures and quick fixes

  • Text too high/low on all labels: adjust Y for each field (or start with room number Y).
  • Only one field drifts: change that field’s X/Y only, not every field.
  • Long names clip: reduce font size before changing geometry.
  • Nothing prints / text missing: Y may be too high (near or above the top). Move Y down into the sleeve window.
  • Output varies run to run: check feed path and that you are using the same holder stock.

Release checklist before live group use

  • Three sample labels from different rooms print correctly.
  • Special characters (Å, Ä, Ö) render as expected.
  • Breakfast time format matches hotel policy.
  • A backup path exists if the printer is unavailable.
