What PrintKey does, and how we help
A practical overview for hotel managers. This is not a legal contract. Your Pilot or PrintKey System agreement is the document that applies until formal terms are in place.
What PrintKey is for
PrintKey turns a MEWS group export into printed A7 keycard holder labels in the browser. That is the job: paste, check, create a PDF, print.
PrintKey does not plan groups, assign rooms, run the arrival table, or replace your hotel's own check-in process. Efficient group planning stays with the hotel.
What the hotel remains responsible for
Day-to-day printing depends on things at the desk that PrintKey cannot control. The hotel keeps those ready:
- toner, paper, and the A7 inlay in the Brother printer,
- the USB connection on the reception or back-office computer,
- PrintKey layout Settings (manager account),
- the print dialog on that computer: Default (not Custom), paper size A4, same Brother printer every shift,
- a simple backup for exceptions: handwriting or stickers.
Give group prep enough time
PrintKey is stable in daily use. It can also get a group on the table when a shift is short. Treat that as a safety net, not as the plan.
Start the group with enough time that a second print, a paper check, or a handover still fits before guests walk in. A calm table comes from the clock you give the job, not from leaving it to the last half hour.
If something looks wrong, start here
The PDF and PrintKey Settings are often already correct. What moved is the print dialog on the computer: Custom instead of Default, or a paper size other than A4. Then the X and Y you locked no longer land on the holder.
If one person changes that dialog, the next shift can look broken or suddenly fine, without anyone touching PrintKey Settings. Agree one preset on that machine and leave it.
If the dialog is already Default and A4, use the matching guide:
- Printer layout settings for A7 holders (X, Y, font, calibration)
- Using a frame around text on keycard holder labels
- Using a MEWS export for label prep
- All Knowledge Center guides
The in-app walkthrough (the ? on the desk screen) covers the daily print flow, including optional group name.
How to contact PrintKey
We work by email only. Use the contact form, or ask your FOM (or the person responsible for PrintKey) to write to us.
Say which hotel you are, what you were trying to print, and what you already checked (print dialog Default/A4, toner, USB, PrintKey Settings). That helps us answer once.
Email is during normal working hours. It is not a 24-hour desk line.
